Good intake without follow-up is unfinished work
A good first conversation needs an owner, a next action and a clear path to a consultation.

The call was answered. What happened next?
A prospective client explains their situation. The contact details are captured and a consultation is offered. From the firm’s perspective, intake looks complete. But the payment link sits unanswered, the appointment is never confirmed and nobody owns the next conversation.
The problem is unfinished coordination. Answering an enquiry matters, but it only creates an opportunity. Someone still needs to guide that opportunity through the firm’s approved process.
Treat every handoff as work
For each appropriate enquiry, record who owns the next step, what needs to happen and when it is due. A status such as ‘payment link sent’ should lead to a defined action if payment is not received. ‘Consultation offered’ should not be confused with ‘consultation booked’.
Keep professional review separate from routine coordination. An attorney may need to decide whether the firm can proceed, while approved reminders and scheduling can follow the process without asking that attorney to chase every detail.
Look for the waiting
The dashboard view below separates stages and outstanding work. That makes a practical question possible: where are people waiting, and what would move them forward? A stage count alone is not a conversion result. It becomes useful when it leads to a review, callback or decision.
Before adding more enquiries, check the ones already in your system. Some will be unsuitable, some will decline and some will need more time. The objective is a consistent next step for every appropriate enquiry, rather than assuming every lead should become a client.
